1) Agreement to Terms
These Terms of Service ("Terms") govern your access to and use of: (a) the Romus Chrome extension (the "Extension"), (b) app.romus.ai (the "App"), and (c) romus.ai (the "Site")—collectively, the "Services". By installing, accessing, or using the Services, you agree to these Terms. If you do not agree, do not use the Services.
Language. The binding language of these Terms is English.
2) What Romus Does (Summary)
Romus provides assistive task extraction from your Gmail messages using AI (currently GPT-5-nano and GPT-5-mini, provider: OpenAI). The output may include tasks, deadlines, and priorities derived from the email content.
- • No Advice / No Guarantee of Accuracy. Romus does not provide legal, financial, medical, or other professional advice. AI-generated outputs can be incomplete, incorrect, or misleading. Always read the original email and do not rely on Romus as a substitute for your own judgment.
- • Read-the-source rule. Outputs are not a guarantee of what is actually in the email. You must verify against the email itself before acting.
3) Eligibility & Accounts
- • Age. You must be 16+ (or the higher age required by your country's laws) to use the Services.
- • Accounts. Sign-in is via Google OAuth. You are responsible for safeguarding your account and for activities under it.
- • Use for work. Individuals may use Romus with work email accounts, but no enterprise option or special enterprise terms are currently offered.
4) Privacy
Your use of the Services is governed by our Privacy Policy, which is incorporated by reference. It explains what we collect, how we use it, and your rights. We do not store raw email bodies on our servers. We store AI outputs and limited metadata to provide the Services.
5) Plans, Billing, and Taxes
- • Plans & Auto-Renewal. We offer Free and Paid plans (e.g., Pro, Pro Plus) billed monthly or yearly with auto-renewal until cancelled.
- • No Trials. We do not currently offer free trials on paid plans.
- • Pricing Changes. We may change prices; we will notify you at least 30 days in advance by email. Continued use after the effective date constitutes acceptance.
- • Charges & Taxes. Payments are processed by Stripe (and its tax partners, as applicable). You authorize us to charge your payment method for recurring subscription fees, applicable taxes/VAT, and any agreed charges. You are responsible for providing accurate billing/tax information.
Refunds & Cancellations
- • Subscriptions auto-renew until you cancel in the App.
- • Cancellation takes effect at the end of your current billing period; no refunds or credits for partial periods, except where required by law.
- • Upgrades may be prorated; downgrades apply from the next renewal.
- • Failed Payments. If payment fails, we may notify you and allow a 7-day grace period. If still unpaid, we may suspend or terminate access.
6) Fair Use, Limits, and Rate-Limiting
- • Plan Limits. Each plan may have usage limits (e.g., emails analyzed per month) described on our pricing pages.
- • Fair Use. We may throttle, suspend, or restrict usage that materially degrades service for others or appears abusive (e.g., automated scraping, excessive concurrent analysis, attempts to bypass limits), even if within nominal plan limits.
- • Rate-Limiting. We may impose or adjust technical rate limits at any time to maintain service reliability and security.
7) Acceptable Use & Prohibited Content
You may not:
- • Use the Services for unlawful purposes; infringe IP or privacy rights; distribute malware; spam; probe, scan, or test vulnerabilities; or interfere with service integrity.
- • Attempt to access mailboxes or data you do not own or have permission to process.
- • Reverse engineer, decompile, or attempt to extract source code (except as allowed by law).
- • Benchmark or publish performance results without prior written consent.
Prohibited data types.
Do not submit special categories of personal data (GDPR) or other highly regulated data (e.g., health information subject to HIPAA, full payment card numbers, government IDs, bank account numbers) unless we have expressly agreed in writing.
Gmail rights. You must have all necessary rights and permissions to process the emails you analyze with Romus.
8) Beta Features
We may offer Beta or experimental features if you opt in. Betas may be unstable, change at any time, or be discontinued. They are provided as-is, may have different limits, and may not be covered by support or retention commitments.
9) Data Ownership & Licenses
- • Your Content. As between you and Romus, you own your email content and you own the AI output generated for you.
- • License to Operate. You grant Romus a non-exclusive, worldwide, royalty-free license to process, store, transmit, and display Your Content and Outputs only as necessary to provide and improve the Services (including reliability, security, anti-abuse, and plan capacity planning).
- • Aggregated/Anonymized Data. We may create and use aggregated and/or anonymized data that does not identify you, for analytics, service improvement, and business purposes.
10) Intellectual Property; Feedback; Third-Party Components
- • Our IP. Romus (including software, UI, designs, prompts, documentation) is owned by us or our licensors and is protected by IP laws.
- • Feedback. If you provide feedback or suggestions, you grant us a perpetual, worldwide, irrevocable, royalty-free license to use it without restriction.
- • Third-Party Components. The Services may include open-source or third-party software governed by separate licenses. We will provide a notices page or file identifying such components and licenses.
11) Service Levels & Support
- • SLA. No formal SLA is offered; service is best-effort.
- • Support. Best-effort email support via midaskenninck@gmail.com with no guaranteed response times.
12) Third-Party Services & Dependencies
The Services rely on third-party providers including, without limitation, Google (OAuth and Gmail access via content scripts/InboxSDK), OpenAI (AI inference), Supabase (database, auth, edge functions, realtime), Stripe (payments), and Vercel (hosting). Your use is subject to their applicable terms. Distribution via the Chrome Web Store is also subject to Google's policies. We may change providers from time to time.
13) Changes to the Services; Terms Updates
- • Features. We may add, change, or discontinue features at any time. If a change materially reduces core functionality you rely on, we'll provide notice and you may cancel your subscription.
- • Terms. We may update these Terms. For material changes, we will email you (and/or show an in-product notice). Changes take effect 30 days after notice, except for legal/security updates which may be effective sooner. Continued use after changes take effect constitutes acceptance.
14) Termination
- • By You. You may cancel at any time in the App; access continues until the end of your current billing period.
- • By Us. We may suspend or terminate your access immediately for violations of these Terms, risk to the Services or users, or non-payment.
- • Data on Deletion. When you delete your account, we delete your data as described in the Privacy Policy, except for information we must retain for legal or tax purposes (e.g., invoicing records).
15) Warranties & Disclaimers
THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ACCURACY. AI OUTPUTS MAY BE WRONG OR INCOMPLETE; ALWAYS VERIFY AGAINST THE ORIGINAL EMAIL.
16) Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW:
- • No indirect damages. WE WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL.
- • Cap. OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICES IS LIMITED TO THE AMOUNTS YOU PAID TO ROMUS FOR THE SERVICES IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY; IF YOU USE THE FREE PLAN ONLY, THE CAP IS €50.
- • Non-excludable liabilities. Nothing excludes or limits liability where prohibited by law (e.g., for fraud or willful misconduct).
17) Governing Law & Venue
These Terms and any dispute are governed by the laws of the Netherlands (excluding conflict-of-laws rules). Exclusive jurisdiction and venue lie with the courts of Noord-Holland, Netherlands. You and Romus consent to personal jurisdiction there. (If mandatory consumer protection laws of your country grant you additional rights, those remain unaffected.)
18) Export Controls & Sanctions
You must comply with applicable export control and sanctions laws of the EU, UK, US, and other jurisdictions. You may not use the Services if you are located in, or are a resident of, a country or region subject to comprehensive sanctions, or if you are on a restricted-party list.
19) Right of Withdrawal (EU/UK Consumers)
By purchasing a subscription, you request immediate performance and acknowledge that you waive the 14-day right of withdrawal once access to the Services begins. This does not affect any mandatory rights you may have under applicable law.
20) Security & Responsible Disclosure
We take security seriously. If you discover a potential vulnerability, please email midaskenninck@gmail.com with details. Do not publicly disclose before we've had a reasonable chance to investigate and fix.
21) Teams & Organizations (Future)
We may later offer organization accounts with seat management. If enabled, the organization owner/admin controls seats and associated data. We are not a party to disputes between you and your organization.
22) Data Processing Addendum (DPA)
If you are a business customer subject to GDPR/UK GDPR and require a DPA, contact midaskenninck@gmail.com to request one.
23) Notices; Electronic Communications
We may send notices to your account email and/or display them in the App. You agree to receive electronic communications and that they satisfy any legal requirements for written notice.
24) Assignment; Entire Agreement; Miscellaneous
- • Assignment. We may assign or transfer these Terms (e.g., merger, acquisition, reorganization). You may not assign without our written consent.
- • Severability. If any provision is unenforceable, the remainder remains in effect.
- • No waiver. Failure to enforce a provision is not a waiver.
- • Force majeure. We are not liable for delays or failures due to events beyond our reasonable control.
- • Entire Agreement. These Terms, the Privacy Policy, and plan-specific details displayed at purchase constitute the entire agreement between you and Romus regarding the Services.
Chrome Extension Disclosure (Summary)
The Extension reads Gmail content in your browser via content scripts/InboxSDK (not the Gmail API) to generate assistive AI task suggestions. We do not store raw email bodies on our servers. See the Privacy Policy for details.
